What is your Goal?
What do you want participants to get from the event? How do you measure the success of your event? What is your desired outcome? Consider what will define your event as a 'success', what are we working towards?
Event Type
Are you organizing a get-together for employee engagement or are you prospecting? Is it a formal corporate event to connect with stakeholders? Is it an offsite meeting for executives to plan the year ahead?
Target Audience
Define your target audience and decide who your attendees will be. This helps you make decisions throughout the planning process.
Event Date
Set a date. Your date shouldn't be too soon, but it also shouldn't be years in the future. Give attendees time to factor it into their schedules comfortably.
Budget
Create a budget. Setting a date enables you to get a better idea of the budget required. Typically, booking well in advance gives you options at accessible rates. The cost difference between an event in three months and an event in six months can vary greatly.
Venue
Once you have the ‘when’, then we can plan on the ‘where’. Do you have a preferred venue in mind? There are many things to consider when choosing a venue, but with the right information we can easily find a venue that fits your budget and needs.
Travel and Accommodations
Do some of your attendees require overnight accommodations for a multi-day event? Organizing business travel is a huge undertaking, but as a Corporate Event Planner I can take the load of your shoulders and arrange accommodations that are not just within your budget but also nearby the venue and travel hubs. This may involve organizing car, bus or rail travel to and from the venue, but it might also involve international air travel.
Catering
It's highly likely that your event will require catering-even if that's only for one meal. Whether you choose in-house catering or an outside vendor, I can make the process of choosing seamless and effortless.
Does your event require Invites?
Your attendees are your target audience, they need to know when they're expected to attend, what they can expect, and how to find out more. Providing your attendees with an invitation that has the "who, what, where, when, and why" ensures that they have all the necessary information to come to your event.
Sponsors and Marketing
Does your event require sponsors? Do you have prospective sponsors you've used in the past? This is usually an inside task but can also be outsource in needed. The same goes for your event marketing, sometimes this task is taken by an inside department. Remember that engaging attendees beforehand creates a buzz and excitement around your event. Whatever your need may be, I can help you along the way.
Entertainment
Entertainment is a broad category. This could be daytime entertainment such as: speakers for your event or event-focused excursions, or it could be evening entertainment such as a show or a meal. Whatever your event ‘type’, we can consider your entertainment options with time so that you are not scrambling to find decent entertainment.
Post-Event Data
Once your event is completed you might be tempted to breathe a sigh of relief-but you're not quite finished just yet! It's time to find out what your attendees thought of the event. This will help you gather all necessary information on what needs to improve or needs to be tweaked for your next event. Whether through questions or social media, I can help you get the data you need to evaluate the success of your event.
